Free for practitioners
Woodland Notes is free for the people doing the work. Only the setting — the provider running the sessions — needs a subscription, and one plan covers the whole team.
Every practitioner gets a free account to manage themselves — profile and compliance (DBS, first aid, qualifications), shared to every setting you work for. A setting brings you into its sessions and children by adding you to its Team site — free for you.
The setting is the billing account — £15 a month if it's just you, or £29 a site once you're managing a team. Either way: unlimited children and sessions, never priced per child.
Running your own provision? You're a setting in your own right — just you, one site, £15 a month after a free 14-day trial (no card). Take on staff later and you move to Team; the same login still works free at any setting that invites you.

Pricing, plainly
The setting does — the provider running the sessions. Every practitioner has a free account for their own profile and compliance. A freelance leader running their own provision is a one-person setting, so they hold the subscription themselves — £15 a month on Solo.
Solo (£15 a month) is for a freelance leader working on their own — just your login, one site. Team (£29 a site) is for a setting that wants to bring staff and volunteers in: it lets you invite practitioners into your sessions and children with their own logins and roles. A practitioner can only be added to a site that's on Team.
Never. Children and sessions are unlimited on both plans — a busy group, or an extra pair of hands, never costs you more per child. Price depends only on whether it's just you or a team, and how many sites you run.
Their account is free, always. To bring them into your site — its sessions, children and records — your site needs to be on Team. Then they're in at no cost to them, and the same login follows them to every setting that adds them.
